Booking & Deposits
A booking is confirmed once we receive the advance deposit specified in your itinerary. The deposit amount varies by trip and is communicated at the time of booking. The balance is generally due before departure, as agreed with our team.
Cancellation by You
Because permits, transport, accommodation, and local staff are booked in advance based on your group size, cancellations closer to departure carry higher costs. As a general guideline:
- 30+ days before departure: deposit is refundable minus any non-refundable permit or booking fees already paid on your behalf.
- 15–29 days before departure: 50% of the total trip cost is refundable.
- 7–14 days before departure: 25% of the total trip cost is refundable.
- Less than 7 days before departure, or a no-show: no refund, as costs are already committed.
Exact terms can vary by trip and will be confirmed in writing when you book — please check your booking confirmation for the specific policy that applies to your itinerary.
Cancellation or Changes by Us
Treks in the Himalayas, especially border-area routes like Adi Kailash, depend on permit approvals, weather, and road conditions outside our control. If we need to cancel or significantly alter a departure due to permit denial, extreme weather, landslides, or similar circumstances, we will offer you the choice of a full refund of amounts paid to us, or rescheduling to an alternate date at no extra cost.
Rescheduling
If your plans change, we'll do our best to move your booking to a different date, subject to availability and any non-recoverable costs already incurred (such as permits already filed). Requests made well in advance of departure are much easier to accommodate than last-minute changes.
Force Majeure
Neither party is liable for delays or cancellations caused by events beyond reasonable control — including natural disasters, government restrictions, border closures, or public health emergencies. In such cases, we'll work with you on rescheduling or a partial refund based on costs already committed to vendors and permit authorities.
Travel Insurance
We strongly recommend travel insurance that covers trip cancellation, medical evacuation, and high-altitude trekking, particularly for routes above 3,500 m. This protects you against costs outside our cancellation policy, such as personal medical emergencies or missed flights.
How to Cancel or Reschedule
To cancel or reschedule a booking, contact us directly by phone, WhatsApp, or email with your booking details. We'll confirm the applicable refund or rescheduling terms in writing.
